Vineyard Operations Administrative Assistant

JOB SUMMARY

Under the supervision of the Vineyard Finance Manager, this position is responsible for Vineyard Operations clerical and administrative duties, and overseeing all aspects of the chemical ordering process. The ideal candidate will have at least 1 -2 years experience in an administrative, clerical, or data entry position, be strong with Excel, Word, and Outlook, and have basic knowledge of agricultural work environments.
ESSENTIAL FUNCTIONS

  • Process vendor invoices by assigning accounting codes based on vineyard location and function.
  • Setting up new vendors for the vineyards department
  • Maintain all DMV registrations and licenses
  • Coordinate chemical ordering with PCAs, chemical suppliers, vineyard managers, and maintain active chemical inventory at all sites
  • Harvest record keeping, and other vineyard financial analysis
  • Maintain equipment inventory
  • Perform various cost analysis and usage for chemical orders
  • Responsible for inputting chemical Product Use and Application Completion reports into Agrian, and organizing and maintaining onsite records
  • Responsible for sending out evaluation sheets to the winemakers (during harvest)
  • Maintain monthly vineyard status reports
  • Maintain documentation of vehicle insurance for company vehicles and equipment
  • Act as primary contact with vendors while keeping a good working relationship
  • Inputting and receiving Purchase Orders in JDE
  • Liaison between Vineyard Ops and TWGs Accounting Department
  • Responsible for completing and submitting various government and regulatory data
  • Inputting and maintaining annual harvest data to include: harvest logs, forecasts, harvested tonnages by block, etc.
  • Responsible for maintaining and archiving delivery tags
  • Purchase office and other misc. supplies for TWG vineyard employees
  • Liaison between vineyard ranch managers and IT
  • Maintaining vineyard planting data; (vine counts, clone and rootstalk data, planting dates, etc.)
  • Responsible for maintaining equipment database, and vehicle reporting
  • Maintain Vineyard Ops electrical utility database
  • Maintain SDS database
  • Monitor and track all harvest deliveries to wineries both internal and external
  • Organize and maintain outside farm management invoices
  • Assist in the implementation of SharePoint with Vineyard Operations

QUALIFICATIONS

  • High School Diploma Required / College Degree Preferred
  • 1 - 2 years Administrative, clerical, or data entry experience
  • Must be proficient in Microsoft Excel. Word, and Outlook
  • Excellent organizational skills
  • Excellent interpersonal skills with strong written and verbal communication skills
  • Basic knowledge of agricultural work environment
  • Ability to be a team player and model teamwork
  • Mandatory travel as needed
  • Must be able to work full time hours, plus overtime as needed

PHYSICAL REQUIREMENTS

  • Position could be exposed to both indoor and outdoor environments, but is primarily an office environment
  • Ability to travel to meetings if needed

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
