org/jobs) If you have questions please call Geri Van Gorkum at (209) 599-0219 BOOKKEEPER - ACCOUNTS PAYABLE DEFINITION Under the general guidance and direction of the City Clerk/Finance Director, the Bookkeeper performs a variety of accounting clerical work in connection with keeping financial records, preparing financial reports, processing documents involving financial transactions.
This position requires knowledge of bookkeeping, cash receipts and payables, and maintenance of financial records.
DUTIES Prepares all invoices for appropriate documentation and approval prior to payment.
Codes invoices to proper expense accounts and departments by analyzing invoices or expense reports.
Audit and process credit card bills.
Pays vendors by monitoring discount opportunities; verifying federal ID numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation.
Prints checks and match to invoices; obtains signatures on all accounts payable checks; and distributes signed checks accordingly.
Annually prepare Form 1099s accurately and timely.
Answers all vendor inquiries.
Maintains all accounts payable reports, spreadsheets and files thoroughly and accurately, in accordance with company policy and accepted account practices.
Maintains all accounts receivables including invoices and collecting amounts due.
Assists in monthly closing process.
Prepares journal entries as required.
Prepares analysis of accounts, as required.
Performs filing, scanning and copying.
Prepares daily bank deposits.
Makes arithmetical calculations and verifies extensions.
Sends notices of due payments.
Receives, inputs and prepares invoices and business license information.
Performs other duties as assigned.
SPECIAL REQUIREMENTS While performing the duties of this job, the employee is frequently required to walk, sit, talk, and hear.
The employee is required to use hands to finger, handle, feel or operate objects, tools or controls; and reach with hands and arms.
The employee is occasionally required to climb or balance, stoop, kneel, crouch, or crawl.
The employee is required to perform simple grasping and fine manipulation and to sit for long periods.
Possession of a valid driver's license.
Must live within a 35-mile radius of City Hall.
KNOWLEDGE AND SKILLS Knowledge of:
Modern office practices, procedures and equipment.
Methods and procedures in financial record keeping.
Business arithmetic.
Modern filing and indexing methods.
Organizational, communication and time management skills.
Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures.
Ability to:
Perform clerical work involving independent judgement, requires speed and accuracy.
Use a 10-key by touch and type at a speed of 40 WPM.
Understand and carry out oral and written directions.
Establish and maintain cooperative working relationships with those contacted in the course of work.
Deal tactfully and courteously with the public.
Strong problem solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills.
EDUCATION AND EXPERIENCE Any combination of training and experience, which is likely to provide the required knowledge and skill, is acceptable.
Typically, this includes:
- Education equivalent to graduation from high school.
- Supplemental courses in bookkeeping and office procedures.
AND - Minimum three years progressively responsible clerical work.
